Winter deadlines 2025/2026

The PhD Administration will be closed from 22 December 2025 until 5 January 2026. No case handling will occur during this period.

Enrolment

If you need your enrolment certificate to be issued in December 2025 or the beginning of January 2026, you must submit a fully completed enrolment application no later than Monday 17 November 2025.

Concluding the PhD

Submissison:

If you want your thesis to be screened and sent for assessment before Christmas, you must submit it in PhD Planner no later than 10 December. This applies to students at all faculties. For the PhD Administration to comply with this, it is assumed that the thesis is complete at the time of submission.

If you have a submission deadline between 22 December and 4 January, you can wait to submit your thesis until 5 January, as the PhD Administration is closed between Christmas and New Year. If you cannot submit your thesis on 5 January, you must apply for an extension.

Defence:

If you expect to defend your thesis in early/mid-January, the PhD Administration must receive the positive recommendation no later than 10 December and defence information immediately thereafter. For students at HUM, TEO, SAMF and JUR, the PhD Administration must have received both the positive recommendation and defence information by 10 December if the defence is to be held in early/mid-January.

Pre-screening:

If students want to be sure to get an answer to the pre-screening before Christmas, they must send their thesis to KB no later than 15 December at 12 am.

Hotel bookings

If you need a hotel booking during 19 December 2025 until 5 January 2026, we kindly ask that you contact us no later than 15 December.

We will be back on 5 January and will prioritise your hotel booking as soon as possible. However, please note that we cannot guarantee any bookings before 15 January.
